Your Impact:

The Executive Assistant will work closely with the executive leadership team to manage and improve 120Water workspaces, and plan company-wide meetings, leadership off-sites, and other events. In this role, you will work cross functionally on a variety of tasks that include, but are not limited to: facilities & office management, meeting coordination, assist with state business registrations, company communications, etc. This position requires someone who is extremely organized and is able to work both independently and partner with others to accomplish goals.

What you’ll do:

  • Maintain 120Water’s employee work environment, both on premise and remote
  • Manage the office layout and order supplies and equipment
  • Provide general support to visitors, including customers, candidates, and others
  • Partner with facility management vendors, including supplies, utilities, cleaning, catering, IT support, security services, and amenities
  • Coordinate mail collection and distribution
  • Assist with process and policy documentation
  • Manage logistics for company-related activities such as board resolutions, investor meetings, etc.
  • Coordinate and attend board meetings, taking minutes and ensuring they run smoothly
  • Assist with company and team event planning
  • Other executive administrative tasks as assigned by the CEO

What you bring:

  • Knowledge of facilities administrator responsibilities, systems and procedures
  • Familiarity with email scheduling tools, like Google Calendar
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
